About the role

The Operations Support Specialist is responsible for leading the end-to-end customer order cycle from order intake through delivery, making sure accurate execution of all operational, legal, and functional processes.

Main responsibilities will include:

  • Act as the first point of contact for customer and sales team inquiries via phone, email, and other communication channels

  • Manage full order processing activities, including: Regular sales orders, Free of Charge (FOC) orders, Samples, returns, and Fair Share Allocation, Debit and Credit Notes

  • Lead all aspects of order execution from intake through to customer delivery, ensuring Proof of Delivery (POD) is obtained

  • Handle pricing uploads, execution, and follow-up using internal systems (SFDC CLM, SAP, LOTS)

  • Coordinate day-to-day communication and operational activities with vendors such as carriers, insurance companies, and brokers, when required

  • Provide accurate documentation and information to brokers to support import and customs clearance processes

  • Support local delivery completion by sharing guidance and operational instructions as needed

  • Implement claims management activities using the Claim Management System (CMS) module within SFDC

  • Maintain customer account data and parameters in designated systems (e.g., PEGA)

  • Generate and distribute reports using available tools including Power BI, SAP S/4HANA, and LOTS

  • Participate in customer, distributor, and vendor visits, in coordination with the line manager, to strengthen operational collaboration and service quality

About you

  • A University degree or equivalent professional experience is required

  • Proficient in English (both written and spoken)

  • Previous corporate experience in operations, customer service, supply chain, or related roles is an advantage

  • 2–3 years of experience in a customer-facing role involving operational execution is preferred

  • Strong digital literacy with the ability to navigate and learn ERP systems (SAP, LOTS) expertly

  • Working knowledge of Salesforce is an asset

  • Diligent, proactive, and comfortable working in a fast-paced, cross-functional environment
